This is the privacy policy for Daves Taxis, a private hire taxi service based in Southampton. It explains what information we collect from you when you book a journey or contact us, why we collect it, how long we keep it, and the rights you have under UK data protection law.

If you have any questions, the contact details are at the bottom of this page.

Who we are

Daves Taxis is a private hire taxi service owned and operated by David Plomer as a sole trader. We provide pre-booked airport transfers, cruise terminal transfers, local journeys and guided taxi tours across Southampton and Hampshire.

  • Business name: Daves Taxis
  • Owner / driver: David Plomer
  • Location: West End, Southampton, Hampshire
  • Licensing authority: Southampton City Council (private hire operator and driver licences)
  • Website: davestaxis.co.uk

We are the data controller for any personal information you provide when booking a journey or contacting us. That means we are responsible for how your information is collected, used, stored and protected.

What information we collect

We only collect the information we genuinely need to deliver your journey safely and on time.

To take a booking

  • Your name
  • Your phone number (so we can confirm pickup and reach you if the day shifts)
  • Your email address (if you contact us by email or the website form)
  • Pickup and drop-off addresses
  • Date and time of travel
  • Number of passengers and an indication of luggage

For airport transfers

  • Flight number, so we can monitor delays in real time and adjust your pickup
  • Arrival or departure terminal

For cruise transfers and cruise tours

  • Cruise line and ship name
  • Dock gate or cruise terminal
  • Sailing time and arrival time
  • For cruise day tours: your in-port window and any destinations of particular interest

Special requirements

Wheelchair access needs, mobility considerations, child seat requirements, multi-cabin group composition, and anything else you tell us is needed to make the journey comfortable.

Payment information

We do not store card details. Payments by card are handled by a third-party payment processor, who is responsible for the security of your card data and operates under their own privacy policy. We may keep a record of the payment date and amount (not the card itself) for our own accounts.

Website usage

Standard server logs and analytics (IP address, browser type, pages visited, referring site) for security and to help us understand which parts of the site are useful. Cookie details are in the Cookies section below.

How we collect it

Almost everything we hold about you is supplied directly by you when you contact us. That happens through one of four channels:

  • Phone call
  • WhatsApp message
  • Email
  • The contact form on this website

For airport and cruise bookings we may also use publicly available flight or port tracking services to time your pickup accurately. These services tell us when a flight or ship is arriving; they do not give us personal information about passengers on that flight or ship.

Why we use your information (lawful basis)

Under UK GDPR we need a lawful basis for processing your information. The bases we rely on are:

  • Performance of a contract. To deliver the journey you have booked. We cannot drive you to Heathrow on time without your flight number, pickup address and phone number.
  • Legitimate interests. To respond to enquiries, monitor real-time flight or cruise arrivals so we are waiting when you land or dock, and keep records that protect both you and us in the event of a dispute. We have assessed these uses and they do not override your rights and freedoms.
  • Legal obligation. HMRC requires us to keep financial records of bookings for tax purposes.
  • Consent. For optional analytics cookies. We do not currently send marketing emails; if that ever changes, you would have to opt in.

Who we share it with

We do not sell your data and we do not pass it to marketing companies or lead-resale services. We share the minimum necessary with:

  • Our payment processor. When you pay by card, your card details go to the processor, not to us. They act as a separate data controller for that information.
  • HMRC and our accountant. For tax compliance only.
  • Our insurer. Only in the event of an accident or insurance claim.
  • Public authorities. If legally required by a court order or a valid law-enforcement request.

We do not transfer your data outside the UK except where a third-party service (for example, Google Analytics) processes it in another country under an appropriate safeguard recognised by the ICO.

Cookies and analytics

This website uses cookies in three categories:

  • Essential cookies. Required for the contact form to function and to remember your light or dark mode preference. These do not require consent.
  • Analytics cookies. We use Google Analytics 4 to understand which pages are most useful and where the site could be improved. GA4 collects anonymised usage data. You can opt out via your browser settings or the cookie banner on first visit.
  • Form anti-spam cookies. Set by Formidable Forms (the plugin that powers our contact form) to help prevent spam submissions.

We do not use advertising cookies, retargeting pixels, or social media tracking (Facebook, TikTok, Instagram). We do not share your usage with third-party advertisers.

How long we keep your data

We keep your information only as long as we genuinely need it.

  • Booking records: 12 months from the date of travel, so we can handle follow-up questions and repeat bookings.
  • Financial records (HMRC requirement): 6 years from the end of the relevant tax year.
  • Enquiries that did not lead to a booking: 6 months, then deleted.
  • WhatsApp and SMS message threads: Kept on the device under the same retention windows above; older threads are deleted.
  • Website analytics (GA4): Google’s default retention, currently 14 months from collection.

Your rights under UK GDPR

You have the right to:

  • Know what we hold about you (the right of access, sometimes called a Subject Access Request)
  • Correct anything that is wrong (the right of rectification)
  • Have us delete it (the right of erasure, sometimes called "the right to be forgotten")
  • Restrict how we use it while a query is being resolved
  • Object to processing that we have based on legitimate interests
  • Withdraw consent where consent is the lawful basis (for example, analytics cookies)
  • Receive a copy of your data in a portable, machine-readable format
  • Complain to the ICO if you are not happy with how we have handled your information (see the section below)

To exercise any of these rights, contact us using the details at the bottom of this page. We will respond within one calendar month. There is no charge unless your request is excessive or repeated.

If we are required by law to keep your data (for example, financial records for HMRC) we will explain that to you and retain only what we have to.

Children’s data

Daves Taxis does not market to children. Where children travel with us, the booking is made by a parent, guardian or accompanying adult. The booking record is held in that adult’s name, not the child’s.

Data security

We take reasonable steps to keep your information secure:

  • The website runs over HTTPS, so anything you send via the contact form is encrypted in transit.
  • Booking emails and WhatsApp messages live only on passcode-protected devices.
  • We do not store card payment details ourselves; those go directly to the payment processor.
  • Access to the booking inbox, customer records and accounts is restricted to David Plomer.

No system is perfectly secure. If we ever became aware of a personal data breach affecting you, we would notify you and the ICO within 72 hours, as UK GDPR requires.

Third-party links

This site links to external organisations (for example, English Heritage for Stonehenge tickets, the Roman Baths website, the Royal Collection Trust for Windsor Castle, and the ICO). Those organisations operate under their own privacy policies and we have no control over how they handle your data once you leave this site.

How to contact us

For any privacy-related question, complaint or request:

  • Phone / WhatsApp: 07825 284926
  • Email: info@davestaxis.co.uk
  • Post: Daves Taxis, West End, Southampton, Hampshire

How to complain to the ICO

If you are not satisfied with how we have handled your information, you have the right to complain to the Information Commissioner’s Office. You are not required to contact us first, but we would appreciate the chance to put things right before you do.

  • ICO helpline: 0303 123 1113
  • Online: ico.org.uk/make-a-complaint/
  • Post: Information Commissioner’s Office, Wycliffe House, Water Lane, Wilmslow, Cheshire SK9 5AF

Changes to this policy

We may update this privacy policy from time to time, for example if we add a new service, change a payment processor, or the law changes. The "Last updated" date at the top of this page always reflects the current version. Significant changes will be flagged on the homepage.
